How to Read a Merchant Processing Statement Without Losing the Detail | Eric Kuvykin

Start with the statement’s boundaries

Before comparing fees, identify the statement period, merchant account and legal entity. Determine whether the report covers sales by transaction date, processing date or another cutoff. A bank deposit report using a different date basis may appear inconsistent even when the transactions reconcile.

Keep the provider’s statement definitions beside the first review. Ask for explanations of unfamiliar abbreviations rather than assigning meanings from a generic online example. Different providers can organize similar charges in different ways, and one line may combine several components.

Reconcile activity before judging price

Record sales, refunds, adjustments, disputes and deposits separately. Choose several actual transactions and trace them into the totals. Then match the payout references to the bank record. Keep an exception list for amounts that remain unexplained instead of forcing a balancing figure into miscellaneous expense.

Ask how the statement presents fees deducted from deposits compared with fees billed separately. Include related invoices for software, equipment or services when assessing the broader operating cost. Do not count the same charge twice because it appears both in a summary and in a detailed section.

Group costs by what makes them change

Separate volume-related charges, per-transaction charges, fixed account costs and event-based fees. This grouping helps explain why a quiet month may show a higher effective percentage than a busy month even when the agreement has not changed. A minimum or subscription cost can have a larger proportional effect at lower sales volume.

Visa’s rates-and-fees resource distinguishes interchange reimbursement from the merchant discount negotiated with the merchant’s financial institution. Use that distinction when asking the provider which statement lines reflect its own pricing and which reflect underlying transaction costs. Request an explanation tied to the actual agreement.

Turn the review into a short action list

Select a few questions that can be resolved with evidence: Why did this category increase? Which transactions triggered this fee? Was a service added? Where is the notice of a pricing change? Keep the provider’s response with the relevant statement and agreement version.

For a New Jersey business selling through a storefront and a website, keep channel subtotals visible where the reporting supports them. A change in the mix may explain more than the overall sales figure. Do not assume a higher percentage means a provider changed prices before checking the transaction mix and fixed charges.

Create a one-page monthly summary with totals, unresolved questions and decisions. Preserve the original statement as the source record. If an employee changes, the next reviewer should be able to reproduce the summary without relying on an undocumented spreadsheet formula.

Use several comparable periods when evaluating a new proposal. Include refunds and ordinary exceptions, not just an ideal sales month. The goal is a statement review that helps the owner explain costs, detect inconsistencies and ask a provider questions that have verifiable answers.
