Dispute response becomes harder when fulfillment records disappear before the payments team needs them. A retention calendar connects each useful piece of evidence with its owner and retrieval process. It should support legitimate dispute handling while limiting unnecessary personal-data storage, rather than accumulating every document indefinitely.
Map the record to the business activity
List the order confirmation, approved price, fulfillment event, delivery or pickup confirmation, refund record and customer correspondence that the business actually creates. Assign an owner to each system. Explain how the order reference connects those records without copying complete payment credentials into another database.
Check the available response process
Ask the processor where disputes appear, who receives alerts and how submission deadlines are communicated. Do not rely on a generic deadline copied from an unrelated provider. Record the backup contact for holidays and absences. A shared mailbox is useful only when somebody is responsible for reviewing and escalating its messages.
Practice retrieval with a closed order
Select an authorized sample and time the search from dispute notice to assembled file. Note records that require a former employee’s login or a vendor support ticket. Fix those dependencies before an urgent case. Submit evidence only through the approved route; a test exercise should not create a real dispute response.
Set a review and disposal schedule
Have the appropriate business and privacy reviewers approve retention periods for the actual record types and obligations. Document controlled deletion and exceptions. Check the calendar when adding a delivery service or changing the POS, because an apparently minor workflow change can remove the evidence the old process relied on.
