Merchant Statement Anomalies: Keep a Ledger of Questions and Resolutions | Eric Kuvykin

A processing statement review produces more value when unexplained items remain visible until somebody resolves them. An anomaly ledger is a small working document that links each question to its source line, provider response and final treatment. It prevents the same fee from being rediscovered every month without an answer.

Create one entry for each question

Record the statement month, account reference, page or line label, amount and why the item differs from expectations. Keep the underlying statement in controlled storage. Avoid placing cardholder details into the ledger when a transaction or batch reference is sufficient for the provider’s investigation.

Classify the possible explanation

Separate a new recurring fee, a volume-driven change, a reversal, a delayed adjustment and an item that remains unknown. Do not classify every increase as an error. Compare the item with the signed agreement, prior statement and any dated change notice before asking the provider a specific question.

Record evidence for the resolution

Save the support case, written explanation and any credit promised. If a correction is approved, record when it should appear and verify it on a subsequent statement. A telephone assurance does not close the question until the relevant financial record shows what actually occurred.

Look for patterns over several periods

Review repeated unresolved labels, delays in receiving explanations and fees that no longer correspond to services used. Present that history when evaluating a provider or contract renewal. Keep the ledger factual: the source, question and response are more useful than unsupported accusations about why an item appeared.

Source and next steps

Visa’s merchant fee overview helps distinguish card-network economics from the merchant’s own agreement. The ledger should use the actual contractual terms and statement definitions. Read Visa merchant processing fees.
