Payment Data for Cash-Flow Scenarios: Label Assumptions Before Comparing Funding | Eric Kuvykin

Distinguish historical records from assumptions

A cash-flow scenario often combines measured payment activity with guesses about future sales, timing and expenses. Label those categories before using the worksheet to compare funding choices. A precise-looking total should not hide an uncertain input.

Start with reconciled historical periods and define sales, refunds, fees and deposits consistently. Keep the legal entity and account visible. Do not treat a processing export as a complete accounting statement or assume every bank inflow represents customer revenue.

Build a small set of understandable cases

Create a base case and a deliberately less favorable operating case using explicit assumptions. Identify what changes: sales volume, refund activity, a payout delay or an expense due date. Keep the scenario limited enough that a reviewer can understand the effect of each change.

Preserve the source period and explain adjustments. A holiday week or closure may not be comparable with an ordinary week. Avoid silently removing unusual activity merely because it makes a proposed funding arrangement look easier to manage.

Add obligations with their actual timing

If evaluating an actual financing offer, use its written terms and have appropriate advisers review unclear provisions. Show fees and expected outflows separately from ordinary processing costs. Do not model only the initial proceeds while omitting the continuing obligation.

For a business operating in Florida, New York and New Jersey, keep entity-specific receipts and commitments distinct before preparing a combined view. One location’s cash should not be assumed freely available to another without examining the actual arrangements.

Use the scenario to frame questions

The SBA’s loan resources provide an official starting point for financing-program and lender research. They do not predict approval or determine whether borrowing is appropriate. The worksheet should help the business ask focused questions about timing, obligations and alternatives.

If AI summarizes the model, require references to the source rows and keep a person responsible for the assumptions and decision. A generated explanation should not become evidence that a forecast is reliable. Review calculations and definitions independently.

Retain versions showing the input changes and the reason for each. A good scenario file makes uncertainty visible and lets another reviewer reproduce the result. Its value is a clearer decision conversation, not a promise about future revenue or funding outcomes.
