Surcharge Refund Audits: Check the Receipt and the Configuration Together | Eric Kuvykin

A checkout price adjustment needs a tested refund workflow. An owner should understand what the customer sees when returning all or part of a purchase and how the system records the associated pricing adjustment. This guide provides an audit exercise; it does not determine whether a surcharge program is lawful or correctly configured.

Capture the approved policy

Collect the written pricing and refund policy, relevant provider instructions and the current configuration approval. Identify who can authorize changes. Staff should not make a local terminal adjustment because another store appears to handle a return differently. Requirements depend on the actual transaction, applicable rules and the merchant’s operating circumstances.

Build a small scenario set

Include a full return, partial return, canceled order and mixed-tender purchase where supported. Use a provider-approved test method and record the expected result before testing. The comparison should cover the displayed amount, the customer receipt, the payment record and the accounting export, rather than checking only the final screen.

Investigate a mismatch at its source

When the observed amount differs from the approved expectation, save the transaction reference and redacted receipts. Ask the provider which configuration or rule produced that result. Do not correct the appearance by manually editing an accounting row while leaving the actual customer refund unresolved. Track both the customer outcome and the system defect.

Retest after relevant changes

Repeat the exercise when changing POS software, receipt templates, payment providers or refund permissions. Keep a dated approval record and a rollback contact. Review customer complaints for patterns, but avoid treating the absence of complaints as proof that every refund has been handled correctly.
