Payment Settlement Records for Closed Locations: Build an Entity Timeline | Eric Kuvykin

Reviewed October 17, 2026. This practical guide replaces an earlier general overview; the original publication date and URL are retained.

A settlement notice can involve a business name or merchant account that no longer appears in today’s operations. A location timeline helps an authorized owner locate the relevant records without confusing a closed store, a renamed company and a separately owned entity. It is a records exercise, not a determination of settlement eligibility.

Identify the entity behind each location

Record the legal entity, trading name, address period and merchant account reference using controlled source documents. A shared brand does not establish that two stores had the same owner. Keep uncertainty explicit when documents are missing instead of filling gaps from memory or copying details from a current location.

Map changes to dated evidence

List opening, closure, ownership transfer and processor changes alongside the documents that support them. Separate a management change from a legal ownership change. Note who has authority to request archived processing records and whether the provider requires an approved verification process before releasing them.

Make retrieval practical and limited

Create an index of statements, agreements and correspondence by entity and period. Keep sensitive originals in approved storage and use references in the general index. Ask former providers about their available retrieval process rather than assuming an old dashboard remains accessible or asking a former employee to share a password.

Verify any external request independently

Use the official court-authorized source to locate current administration instructions. Compare the request with the entity timeline and obtain an authorized review before disclosure. Preserve the transmission record. Do not infer a deadline, award amount or entitlement from this article or a third-party message.
