Chargeback Root Causes: Build Categories That Lead to Operational Fixes | Eric Kuvykin

A dispute report becomes more useful when the business can connect a case to a correctable workflow. The provider’s reason code and the merchant’s operational cause serve different purposes. Keep both rather than replacing the official code with a convenient label that makes reporting look simpler.

Preserve the original classification

Retain the processor’s case reference, code, received date and outcome. Add a separate internal category such as unclear descriptor, delayed fulfillment, cancellation handling or evidence unavailable. Mark an unverified cause as unknown. An allegation in a dispute is not automatically proof that either the customer or an employee acted dishonestly.

Assign causes from the actual record

Review the order, communication and fulfillment evidence available through authorized systems. Let the record support the category rather than choosing the category from the amount or customer profile. Keep sensitive details in the case file and use a reference in the aggregated report. Separate missing evidence from evidence that establishes an operational failure.

Give each category a possible action

For a descriptor issue, review what appears on the receipt and statement. For a missed cancellation, check the handoff between support and billing. Assign a process owner and a testable change. Some cases will remain unresolved; forcing every case into a neat category can hide the limits of the evidence.

Measure after the intervention

Compare suitable periods and transaction counts, allowing time for disputes to arrive. Review whether the change reduced the underlying complaint as well as the dispute count. A short seasonal comparison at a Florida location may be misleading if sales channels or fulfillment methods changed at the same time.
