A business can report healthy sales and still face a cash shortfall before payroll or a supplier bill. A dated funding calendar makes the gap visible. It separates expected receipts from money already available and gives the owner a better starting point before considering faster funding or a financing proposal.
Place obligations on actual dates
Record approved payroll, rent, supplier and tax-payment dates using the business’s source records and advisers. Identify the account each payment will use. Monthly totals are insufficient when several obligations fall before the next expected receipt. Keep estimated items labeled and assign a person to update them as commitments become firm.
Map receipts to verified funding terms
Use the processor’s actual cutoff, weekend and holiday instructions for the account. Separate expected settlement from confirmed bank availability. Include known reserves or pending reviews only when supported by the provider’s records. Do not promise a deposit date from a general product claim when the business has not verified its own eligibility and terms.
Stress the timing rather than only the total
Model a delayed receipt and a lower-sales period explicitly. For a Florida seasonal business, choose assumptions tied to its own trading pattern rather than a general tourism forecast. Show the date and amount of the resulting gap. A transparent estimate is more useful than a forecast that assumes every expected deposit arrives immediately.
Compare remedies using the same cash need
Consider operational changes and available funding options against the dated gap. If evaluating financing, review the actual payment schedule, fees and obligations with qualified advisers. Faster receipt of sales proceeds and new borrowing are different arrangements; compare their written terms rather than treating either as free working capital.
