A supplier payment may arrive below the invoice total because of an agreed discount, a disputed line, a fee or a simple error. The difference should remain visible until an authorized reviewer explains it. A short-payment workflow connects bank receipts with remittance detail without quietly rewriting the original invoice.
Preserve the original invoice position
Record the invoice amount, currency, due date and approved adjustments. Keep the bank receipt separate from the amount still outstanding. Do not mark an invoice fully paid solely because a payment with a similar reference appeared. A customer’s payment note may be useful evidence but does not itself approve a deduction.
Match the remittance line by line
Use the customer reference and invoice mapping to identify what the payer says it covered. Check whether one payment spans several invoices or one invoice has several receipts. Keep unmatched cash in the appropriate reviewed workflow rather than guessing the allocation to make an aging report look cleaner.
Assign a reviewer for the difference
Classify the unresolved amount as pending explanation, proposed credit or confirmed balance using the business’s approved process. Record the person authorized to accept a discount or issue a credit. Customer-service staff may help gather information without having authority to waive a receivable or alter a contractual term.
Update the cash forecast honestly
Separate collected cash from the outstanding amount and its expected resolution date. If the gap affects financing discussions, retain the explanation with the receivables schedule. Present a documented estimate rather than treating every disputed balance as certain future cash. Ask the accountant about the appropriate financial treatment.
