Choose a bounded assistance task
An AI tool can draft a customer-service response without being allowed to approve a refund, promise a funding date or change an account. Define that boundary before the pilot starts. Give reviewers an approved policy source and require them to confirm any statement about money against the actual provider record. A fluent answer is not evidence that a payment has moved.
Create a challenge set
Use synthetic or appropriately de-identified examples covering an unresolved refund, a weekend payout, a partial delivery and an angry customer asking for an exception. Write the expected factual limits before viewing the model’s answer. Include cases in which the correct draft asks for authorized investigation rather than inventing a date. Keep confidential payment credentials and unnecessary personal data out of the test.
Score errors by consequence
Count unsupported promises separately from tone problems. An inaccurate sentence saying that a refund is complete can cause more harm than an awkward greeting. Track omitted escalation instructions, invented policy terms and requests for unsafe data. Record which approved source supports each material claim. A reviewer should be able to reject the entire draft when the source record is ambiguous.
Define the release and rollback rules
Start with a human reviewing every proposed message. Decide who can pause the tool, how rejected drafts are retained for analysis, and which changes require retesting. Do not let a prompt update silently grant authority to issue money. For a New York business using external support staff, confirm who owns the final customer communication and who can inspect the underlying payment state.
Sources and next steps
The workflow above is an operational method. Consult the current primary resource: NIST AI Risk Management Framework. It does not establish compliance, guarantee acceptance or replace the provider’s instructions for a live case.
