Processor Fees by Channel: Explain the Mix Before Comparing Providers | Eric Kuvykin

A monthly statement can appear more expensive because the business accepted a different mix of transactions. A channel worksheet helps separate volume changes from a changed contractual charge.

Create comparable groups

Group transactions using reliable report fields such as in-store, online and invoice payment. For each group, record transaction count, sales volume, refunds and allocated fees. Mark fees that cannot be reliably assigned. Do not distribute a shared monthly charge across channels without writing down the allocation method; the assumption can change the apparent winner.

Calculate an illustrative mix shift

Assume a business has $20,000 of in-store sales with $400 of assigned fees and $10,000 online with $300 of assigned fees. The combined assigned fee ratio is $700 divided by $30,000, about 2.33%. If online volume grows while the illustrative channel ratios remain unchanged, the blended ratio changes. That result does not by itself show a new provider markup.

Reprice the same transaction population

Ask each proposed provider to apply its offer to the same counts, ticket sizes and acceptance methods. Keep equipment, software and monthly fees visible beside transaction costs. Visa distinguishes interchange reimbursement from the merchant discount negotiated with the financial institution; avoid treating a published interchange figure as the merchant’s complete price.

Keep financing withdrawals out of the fee comparison

If an account also shows a financing repayment, classify it separately from processing charges. It may affect available cash without describing the cost of accepting the month’s transactions. Tie the financing line to its agreement and use a separate cash-flow schedule. Investigate an unexplained debit before assigning it a category merely to make the spreadsheet balance.
