Two staff members can assemble different stories from the same disputed sale. A submission audit prevents an obsolete attachment or inconsistent timeline from becoming the business’s official response.
Name a single submission owner
Capture the acquirer’s case identifier, disputed amount, reason and current response deadline. The owner controls the final package while other staff supply source records. Keep the provider’s instructions with the case rather than substituting a general deadline from an article. This is an evidence-control workflow and does not predict whether the business will prevail.
Separate originals from working copies
Preserve retrieved source records unchanged. Give a working attachment a version label, retrieval time and source reference. Mark superseded drafts clearly so an email attachment is not mistaken for the approved file. Restrict access to necessary staff and handle sensitive payment data only through approved tools. A source index should identify which record supports each factual statement.
Resolve a conflicting shipment timeline
For illustration, an early tracking screenshot shows a parcel label created Monday, while a later carrier event shows acceptance Tuesday. A draft claiming Monday shipment needs correction or clarification before submission. Do not silently replace the screenshot without updating the narrative. Have the owner reconcile the order record, fulfillment event and customer messages into one chronology with uncertainty identified.
Audit the package actually transmitted
Record the attachment names, versions, approving person and transmission acknowledgment. Compare that manifest with the provider portal’s submitted-file list. An approved draft on a shared drive is not proof that the same files were uploaded. Visa’s dispute resources explain the network context; the acquirer supplies case-specific procedures. Preserve any subsequent request and response as a new version so another employee can reconstruct the final submission without guessing.
