An inventory reservation, payment authorization and completed sale are different states. Map their transitions before allowing store and online channels to compete for the last available unit.
Give inventory and payment their own state fields
Use separate fields for available, reserved and fulfilled stock, and for the payment status supplied by the processor. Do not use a single green status icon to mean both item availability and completed payment. Preserve the order identifier between systems while allowing each record to retain its own status and timestamp. Ask the provider to explain ambiguous states instead of translating them into paid by assumption.
Walk through the last-unit scenario
Suppose a store has one item left. An online customer starts checkout while a cashier scans that item. In a provider-supported test, observe which action reserves stock, how long the reservation lasts and what the second channel displays. If authorization fails, determine whether the reservation releases automatically. A stock-release event should not initiate another payment attempt by itself.
Test expiration without silently recreating the order
Next, let the online reservation expire before the customer returns. Check whether the system revalidates availability before creating a new payment request. Record whether the old order remains visible and how staff identify the active one. If the item has sold, the customer needs an accurate availability message; a successful-looking payment screen does not make fulfillment possible. Establish a provider-approved exception process for mismatches.
Keep capture decisions with the approved fulfillment policy
Define which order state permits submission for capture, who can resolve a mismatch and which record proves the goods were released. Visa’s rules and the merchant’s acquirer agreement are relevant to acceptance obligations; this operating map does not prescribe a universal capture deadline. The useful output is a transition diagram showing the event, system owner and permitted next action for each inventory and payment state.
